Broadcast an email

Purpose

To send formal announcements or updates directly to employee inboxes, bypassing the portal.


Steps to broadcast an email

  1. Navigate to Control Panel → News and Broadcast → Broadcast Email.
  2. Set recipient filters:
    Use the filters provided to narrow down your target audience:
    • Employee Status: Choose Active or Inactive
    • Department: Select specific teams/departments
    • Location: Filter by office or geographical location
    • Employment Type: Full-time, Part-time, Intern, etc.
    • Gender: If relevant to the announcement
  3. Compose the email:
    • Subject: Title of the email (e.g., “Reminder: Benefits Enrollment Ends This Friday”)
    • Message Body: Write the main content of the announcement. Include links or action steps if necessary.
  4. Optional: Test the email
    • Enter a valid test email address in the Test Email field.
    • Click Test Email to preview how the email will appear in the recipient's inbox.
  5. Send the email:
    Click Send to broadcast the email to all filtered recipients.

Notes

  • This email will not appear on the employee dashboard.
  • Ensure email addresses are correctly maintained in employee profiles for successful delivery.

How to test a broadcast email

  1. Navigate to Control Panel → News and Broadcast → Broadcast Email.
  2. Compose your message:
    • Fill in the Subject and Message Body.
    • Add any formatting or links as needed.
  3. In the Test Email field, enter a valid email address.
  4. Click Test Email.

=> A copy of the email is sent to the test address, allowing you to:

  • Check formatting
  • Confirm spelling and grammar
  • Verify link functionality

Once you are satisfied, set the recipients and click Send to broadcast the email.
