Add and import assets

This article explains how to add an asset (company resource like a laptop, phone, etc.) to the system using the Add Asset option (feature to manually register assets).

Go to the Control Panel → Assets → View/Add option.

This opens a page that shows all previously added and assigned assets. Click the Add Asset option at the top-right corner of the page.

You see various fields (input boxes for data entry) to fill in. To add an asset to the system:

  • Select the category (type/group created earlier, e.g., Laptop, Mobile) for the asset.
  • Choose the asset category that you are adding the asset for.
  • Select the brand (manufacturer, e.g., Dell, HP).
  • Enter the title (name of the asset). The system defines the title automatically based on the selected category. For example: "Dell Laptop". This is a mandatory field, so you must enter the asset title here.
  • Add a description (optional details about the asset) if required.
  • Select the location (branch/site where the asset is placed) if applicable.
  • Define the asset code (unique identifier for each asset).
    • If you have already defined the code pattern (predefined numbering series) in the asset category, the code is generated automatically here.
  • You can also define the code mentioned on the physical asset.
  • Click the eye icon (view option) to generate a barcode (machine-readable label) and later download it to stick on the asset.

Next is the Life Stage option (current status of the asset).

  • You can choose whether it is New, Working, Not Working, or Dead.

You can also:

  • Set the next service date (scheduled maintenance date) for this particular asset.
  • Add any picture, document, invoice, warranty, or user manual related to the asset.
  • Add admin notes (private remarks visible only to admins).

Then, you can add the procurement details (vendor and purchase information). These are optional.

You also have the option of assigning the asset while adding it:

  • Select the employee from here.
  • Enter the expected return date (if known).
  • Enter the issue date (the date the asset was given).
  • Add any comments regarding the asset.

Finally, click Save.

  • To save and immediately add another asset, click Save and Add More.

Import assets

Another option is available: Import Assets.

  • To add assets in bulk, click the Import Assets option.
  • Download the sample CSV file (spreadsheet format) from here.
  • Open the downloaded CSV file, which contains all the headers (column titles like Name, Code, Employee Name).
  • Fill in the details for each asset, including the name of the employee it is assigned to.
  • Once you have prepared the file with multiple entries (e.g., 20–25), save it.
  • Upload this file back into the system.
  • Enter the date format (format like DD/MM/YYYY or MM/DD/YYYY) matching the file entries.
  • Review and upload.

The file is uploaded, and the assets appear in the system in bulk.
